Policy

Data protection & data sharing

By registering for the Hotel Owner Conference 2026, delegates acknowledge and agree to the following data protection and data sharing terms.

Purpose of data collection

We collect and process personal data — including but not limited to name, job title, company name, email address, phone number, and any accessibility or dietary requirements — solely for the purposes of event administration, attendance management, safety, and post-event communication.

Legal basis for processing

Data is processed under the lawful bases of:

  • Contractual necessity, enabling us to deliver your event booking and participation;
  • Legitimate interests, allowing us to communicate essential event updates and provide relevant industry information connected to the event;
  • Consent where explicitly required, such as for marketing communications.

Sharing data with sponsors and partners

As a condition of attending the Hotel Owner Conference 2026, delegates acknowledge that their data may be shared with carefully selected event sponsors and partners. These organisations support the delivery of the event and contribute to the commercial viability of the conference.

The following delegate information may be shared:

  • Name
  • Job title
  • Company name
  • Email address
  • Industry sector
  • Session attendance (if applicable)

Sponsors and partners may use this information to contact delegates after the event with relevant follow-up communications, product information, thought leadership content, or commercial offers aligned with the hotel and hospitality sector.

All sponsors receiving data are required to process it in accordance with UK GDPR and agreed contractual safeguards.

Marketing communications

Delegates may receive communications from the organiser relating to event updates, future events, or relevant editorial content. Delegates may unsubscribe from marketing emails at any time.

Where sponsor communications fall under marketing, they are responsible for providing their own lawful basis for contact and opt-out mechanisms.

Data retention

Delegate personal data will be retained only for as long as is necessary to fulfil the purposes outlined above or to comply with legal and regulatory requirements. Sponsor access to shared data is time-limited and governed by contractual terms.

Data security

We implement appropriate technical and organisational measures to protect personal data from unauthorised access, loss, or misuse. Sponsors receiving data are contractually required to maintain comparable data security standards.

International transfers

If any data is transferred outside the UK or EEA, this will be done only where appropriate safeguards — such as adequacy decisions or Standard Contractual Clauses — are in place.

Delegate rights

Under UK GDPR, delegates have the right to:

  • Access their personal data
  • Request correction of inaccurate data
  • Request deletion of data (where legally permissible)
  • Restrict processing
  • Object to processing based on legitimate interests
  • Request transfer of data to another controller (data portability)

Requests can be submitted at any time using the contact details below.
